Who we are

Responsible party

Velvet Key

Velvet Key (“we”, “us”) sells beauty, skincare, wellness and apparel products online to customers in South Africa. We are the “responsible party” under POPIA for the personal information described in this policy. You can reach us on WhatsApp at 076 348 9949.

Who this applies to

Anyone who visits this website, places an order, or contacts us. Velvet Key products are for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18.

What we collect

Information we collect

When you place an order

Your full name, WhatsApp/phone number, delivery address, the items and quantities you order, and your lingerie size if you order the Date Night Box.

When you contact us

Your WhatsApp number and the messages, photos and details you send us, for example when you ask a question or report a damaged or incorrect item.

Payment

Payments are made through Yoco’s secure payment page. We do not see or store your card number or banking details. Yoco shares payment confirmation details with us so we can match payments to orders.

Technical information

Like most websites, our hosting provider receives basic technical data when you load a page (such as your IP address, browser type and the pages requested). This website does not currently use advertising or analytics cookies.

How we use it

Why we use your information

To fulfil your order

Processing and confirming your order, arranging payment, packing and delivery, sending you tracking details on WhatsApp, and handling returns, replacements and refunds. This is necessary to carry out our contract with you.

To support you and meet legal duties

Answering your questions, resolving complaints, and keeping the business and tax records the law requires.

Marketing

We only send you promotional messages if you have agreed to receive them, and you can opt out at any time by telling us on WhatsApp. We will never sell your personal information.

Discretion

Some of our products are personal. We use what you order only to fulfil that order. Orders ship in plain, unbranded packaging, and we do not discuss or share what you bought with anyone.

Who we share it with

Service providers we rely on

Aramex (courier)

Your name, phone number and delivery address, so your parcel can be delivered.

Yoco (payments)

Your payment details are handled directly by Yoco under its own privacy policy.

Netlify (website hosting and order form)

This website is hosted by Netlify, which also stores the order form submissions you send us.

WhatsApp (Meta)

We communicate with you on WhatsApp, which is subject to WhatsApp’s own terms and privacy policy.

Google Fonts

Page fonts are loaded from Google, which means your browser connects to Google’s servers when you view the site.

Legal requirements

We may disclose information if the law requires it, or to protect our rights or the safety of others.

Some of these providers store or process information on servers outside South Africa. Where that happens, we only use providers that are bound by law, binding rules or agreements that give your information a level of protection similar to POPIA.

Keeping it safe

Security and retention

Security

We take reasonable technical and organisational steps to protect your information from loss, misuse and unauthorised access. This website is served over HTTPS, and access to order details is limited to the people who need it to fulfil your order.

How long we keep it

We keep your information only for as long as we need it to fulfil your order, handle returns and queries, and meet our legal record-keeping duties (business and tax records can need to be kept for up to five years). After that we delete or de-identify it.

Your rights

What you can ask us to do

Your rights under POPIA

You may ask us to confirm whether we hold information about you and to give you a copy; to correct or update it; to delete it where we no longer have a lawful reason to keep it; and to stop using it for marketing. You may also object to our processing of your information, or withdraw your consent where we rely on it. Nothing in this policy limits your rights under POPIA or the Consumer Protection Act.

Complaints

If you believe we have not handled your information properly, please contact us first so we can put it right. You also have the right to complain to the Information Regulator (South Africa): inforegulator.org.za, complaints.IR@justice.gov.za.

Updates

Changes to this policy

We may update this policy from time to time, for example if we add new services or tools to the website. The date at the top shows when it was last changed. If we make significant changes, we will make that clear on this page.
